6 Tips for Your Next Event in Prague

The city of Prague is fast becoming a popular destination for both tourists and business travellers. Last year, the Czech Republic welcomed a record number of 10.6 million foreign tourists, a 6.4% increase from 2017. And of this number, 6.7 million came to visit its capital Prague. Many companies have been considering holding their corporate events in Prague—and for good reason. As the cost of living in Prague is significantly lower than the rest of Western Europe, visitors find that Prague gives them excellent value for money. With the amazing architectural views coupled with the Euro going very far in the city, travellers will never run out of things to do in Prague.

These are just a few reasons why many companies are choosing to organise a corporate event in Prague. Due to its rising demand and popularity, we’ve listed down tips to help you organise a corporate event in Prague.

1.) Choose from Hundreds of Venues

Great news for those who are planning a corporate event in Prague. Did you know that the Czech Republic has over 700 unique conference and corporate event venues? From a 13th century gothic castle that can accommodate 40 guests, to a large converted industrial factory that has been used for functions and events of up to 2,000—there is sure to be an event venue in Prague for every corporate need.

The challenge here does not lie in a shortage of venues, but rather in choosing which kind of event venue in Prague you should go for.

2.) You Need to Do a Site Inspection

Technology and social media have made it extremely easy for us to book most things these days. From flights, to hotel bookings, to corporate events—arranging things online has never been more convenient. However, when it comes to organising corporate events, we highly suggest that you visit Prague and your chosen venues at least once prior to your event taking place.

No amount of HD or Virtual Tours can take the place of actually being there. And as Prague has over 700 event venues to choose from, you most likely would have narrowed down your options to 2-3 choices. And the most effective way to make a smart and informed decision about this would be to actually see the venues for yourself.

Is their description of “centrally located” actually true? Is the venue really a 2-minute walk from the train station? Is the exhibit hall truly large enough for your tradeshow? Will your company love the food based on the caterer’s or restaurant’s menu-tasting session?

3.) Timing is Everything

When it comes to planning a corporate event, both time management and knowing when to hold it are factors that affect your project’s success. Depending on how large your event is, you need to give, at the very least, 6-8 months planning and organising time.

And to ensure a successful attendance from event delegates, choosing a good date is also crucial. For instance, while Christmas in Prague is surely a lovely and memorable experience, many companies won't want to hold their event within the end of the year holiday season, as most people are busy.

It’s best to also keep pubic holidays in mind to avoid transport delays at the event, not to mention sky-high rates in accommodation during holidays. In 2020, Prague will have 13 days of public holiday, and there’s also the tons of festivals scattered throughout the year. Prague holds gastronomical festivals for almost all kinds of food.

Weather also plays a role in your event. If your corporate event in Prague involves activities done outdoors, you may want to have it held either in spring or summer. As with most of Europe, Prague has a continental climate. Summers are mild and winters are very cold.

4.) Figure Out Logistics

It’s crucial for you to know how your delegates will arrive in Prague for your event. Are most of your delegates coming from overseas, within Europe, or from all over the world? Prague has 5 major International airports, the biggest of which is Vaclav Havel Airport Prague (formerly known as Prague-Ruzyne Airport), which is 17km from Prague’s city centre.

There are over 60 commercial airlines that fly in and out of Prague and by the end of this year, it’s expected that Vaclav Havel Airport would have served over 18 million passengers. Whether they are taking a flight or taking a train to Prague, it would be nice to provide as much helpful information as possible to your delegates about how to get to the city.

When you have chosen an event location, find convenient accommodation options and give your delegates details about how to get to the venue. Familiarise your guests with Prague by giving them information about the Prague Integrated Transport system which encompasses all of the city’s public transport – trams, the Metro, railway transport, city and commuter bus lines and ferries. Make sure to give information on taxi services as well.

You’d really want to make it as convenient as possible for your guest to attend your event and give them little to no excuse for absence. Necessary logistics also include passport requirements. Do take note that as of 2019, there are 89 countries that do not need a visa to visit Prague / Czech Republic.

5.) Entice Attendees to Come to Prague

The success of your corporate event in Prague depends highly on a great turnout / attendance. Effective event organisers know that you cannot just use your event / conference as a reason for delegates to attend. Take advantage of beautiful Prague and use destination marketing as a tool for a successful turnout!

Everyone loves discovering another country’s food so point them to Prague’s unique delicacies and cuisines that they can enjoy while there. Prague-style beef goulash, schnitzels and strudels are just a few of that they can enjoy.
